Who needs a paid license?
On the diy plan, only Builders (those who create or edit experiences) need a paid license.
On the dfy plan, only 1 Admin needs a paid license.
Prebuilt experiences are available as add-ons to dfy and diy plans.
Can my orgainzation have multiple Builders?
Yes!
You can add users to your diy plan's Builder-Pool at any time, and we will immediately adjust your subscription for the additional license. (We will always give you a chance to confirm that is what you want to do.)
Here's how it works in practice... 1. Adding a Builder Let's say you have a single Builder in your pool, and you want to add another. Before you can confirm this addition we will remind you that doing so will charge your account.
If you decide to go ahead with the additional Builder, you will be charged immediately for the the additional license pro-rated to your billing cycle.
Once charged, subscriptions are non-refundable, which means the earliest you may remove the Builder's license is at the end of your billing cycle.
2. Removing a Builder We will automatically adjust your pricing level at the end of your monthly or annual billing cycle, to match the number of Builder's in your pool at that time.
dfy or diy?
Choose the dfy (done-for-you) plan if you want us to create your first learning experience, or you plan to use our prebuilt experiences. This plan does NOT include a builder license.
During the dfy 14-day free trial you'll have the opportunity to try out all of the non-builder functionality, and to schedule a Discovery Session with a Pro-Team member to scope and estimate the cost for us to build your first learning experience.
Choose the diy (do-it-yourself) plan if you want to create your own learning experiences. This plan comes with one builder license, and the option to add more when and if the need arises.
During the diy 14-day free trial you'll have the opportunity to try out all of our standard features, including creating your own experience.
So, what's "usage" and how is it calculated?
Usage is a value metric. You get value when people actually participate in your experiences, and that's when you'll pay for usage.
Once a month, your account will be charged for the prior month's usage. No usage, no charge.
You can check your account's usage at any time, so you're never surprised.
How is it calculated? Experiences come in all shapes and sizes. Every experience is comprised of episodes that contain blocks of content. Some experiences have just a few blocks, some have dozens.
Your participants consume these blocks of content as they navigate your experiences, and at the end of each subscription month we total them up, multiply by your account's usage rate, and charge your account.
On day 1 of your paid subscription, your usage rate is 2.0. During a subscription year your usage rate will drop as you deliver more learning events. When your account consumes 3000 blocks the rate automatically drops to 1.5, and when your usage goes over 5,000 blocks it drops again to 1.0 for the remainder of your subscription year.
Your account's usage is easily monitored from your dashboard, so you're never surprised. (If you are on a monthly plan, we will still track your usage annually so you can take advantage of the lower rate).
Virtual Room Option: Each of your learning events has the option to use our embedded virtual room, which will increase your usage rate by .2 (point 2) for that event only.
What's included in my 14-day free trial (and what are the limits?)
During your diy free trial, you have access to all of our standard features.
With respect to limits during your trial, you will have 1 Builder account, 12 total users and can put up to 4 events in-progress.
During your dfy free trial, you have access to all of our standard features with the exception of adding and editing experiences which are only available with the diy plan.
With respect to limits on your dfy plan during your trial, you'll have 1 Admin license, 12 total users and can put up to 4 events in-progress.

We know it takes a village to create, review, and manage learning experiences.
On the diy plan you don't pay for users outside your Builder-Pool. (Just remember, if you add them to your Builder-Pool, they will add to your license cost.)
On the dfy plan, you pay for one Admin to keep your subscription open. Additional Admins and all other team members are free.
How much will I be charged at the end of my free trial?
Provided you do not cancel before your free trial ends, when it is over, you'll be charged the monthly or annual diy or dfy plan price.
Please cancel before then, if you do not wish to be charged.
Can I cancel at any time?
Of course!
In fact, if you cancel before your 14-day trial ends, you will not be charged at all.
If you cancel after your trial ends, your subscription will expire at the end of your monthly or annual subscription term, as the case may be.
What is your refund policy?
We do not offer refunds.
It is important to note our plans include free trials, but we do not have a free plan.
On the diy plan, specific Builders removed from your Builder-Pool during your billing cycle will automatically drop off of your subscription in the next billing cycle. Removing the last Builder in your pool is the same as cancelling your account– don't worry we'll warn you if this is the case.
On the dfy plan, removing your primary Admin is the same as cancelling your account– don't worry we'll warn you if this is the case.
How does the virtual room work? Does it cost more?
Each of your learning events has the option to use an embedded virtual room. If you choose this option your usage rate for that learning event will increase by .2 (point 2). For example, if your account's current usage rate is 1.5 and you choose to use the virtual room option for one of your learning events, your usage rate for that event will be 1.7.
Can I use Zoom or MS Teams instead of the built in room?
Absolutely. When you use ExperienceBuilder's built in virtual room it opens in a separate browser tab so that participants can be in the virtual room and the experience at the same time. You could do the same with your organization's favorite web conferencing tool– participants would be "on the call" in one browser tab and logged in to ExperienceBuilder in another tab.
The reason we offer a built in virtual room is because sometimes customers want to ensure their participants are not distracted by other things going on in their web conferencing platforms.
How are Prebuilt experiences priced?
Prebuilt experiences offer a turn key solution. Once you decide to purchase a Prebuilt experience you'll pay a non-refundable upfront price to have the experience loaded to your dashboard completely ready to use. When you actually use the experience for learning events, we'll track your usage, and credit you up to the amount you paid upfront.
For example, if a Prebuilt price is $5000, you won't pay usage fees on that experience until they've surpassed $5000. So, what you pay upfront you get back in usage credits.
Prebuilt experiences disappear from your dashboard if they haven't been used for 90 days. If this happens and you want to use the experience again we'd be happy to reload to your dashboard fee of charge.
Can diy or dfy plans use Prebuilt experiences?
Absolutely! In fact it's the only way to use a Prebuilt experience. Your account's primary contact can add Prebuilt experiences via their subscription menu. Find more information about our Prebuilt options here.
